IMPORTANT — PLEASE READ. These Terms & Conditions ("Terms") are a binding agreement between you and Business Class Vault a part of Vault Travel Group LLC ("Business Class Vault," "we," "us," or "our"), governing your use of businessclassvault.com, our booking and advisory services, and any communication with our travel advisors by phone, email, live chat, SMS, or WhatsApp (together, the "Services").
By using the Services, requesting a quote, or confirming a booking, you accept these Terms on your own behalf and on behalf of every traveler in your party. If you are booking for others, you confirm you are authorized to bind them to these Terms and that you have communicated the relevant provisions to them.
If you do not agree to these Terms, do not use the Services.
Business Class Vault is registered with the State of California as a Seller of Travel.
Registration as a seller of travel does not constitute approval by the State of California.
Upon cancellation of the transportation or travel services, where you are not at fault and have not cancelled in violation of any terms previously clearly and conspicuously disclosed to you, all sums paid to Business Class Vault for services not provided will be promptly refunded to you, unless you advise us in writing to apply the funds otherwise, within the timeframes required by California Business and Professions Code § 17550.13.
Business Class Vault is an independent air travel consolidator and retail travel agency specializing in Business Class and First Class airfare. We hold net-fare agreements with airline partners and issue tickets through accredited ticketing channels.
We are not an airline, air carrier, charter operator, or tour operator. We do not own, operate, control, or crew any aircraft. We do not provide transportation, lounge access, ground handling, or any other travel service ourselves.
We act as an intermediary and agent arranging travel services supplied by third parties ("Suppliers"), including airlines, private aviation operators, and their affiliates. Your transportation is governed by the Supplier's own contract of carriage, tariff, fare rules, and conditions, which:
Business Class Vault is not liable for the acts, omissions, insolvency, schedule performance, service quality, safety, or regulatory compliance of any Supplier. See Sections 17 and 18.
You must be at least 18 years old and legally able to enter binding contracts to use the Services. Bookings involving minors must be made by an adult who accepts responsibility for them.
We reserve the right to decline any enquiry or booking at our discretion, including where we cannot verify identity or payment, where a fare has been misquoted, or where a request would breach applicable law or sanctions.
Business Class Vault quotes an all-inclusive total price per passenger, stated in US dollars unless otherwise agreed. That total includes the base fare, all government taxes, airport charges, carrier-imposed surcharges, and our compensation for arranging the ticket. We do not add a separately itemized service fee at checkout — the price your advisor quotes is the price you pay.
Optional extras purchased separately — seat assignments, additional baggage, paid upgrades, lounge passes, or travel insurance — are quoted and charged in addition to the ticket price and are clearly identified before you authorize them.
Airfare inventory, fare filings, exchange rates, and taxes change continuously and without notice. A quote is an invitation to book, not a binding offer, and is not guaranteed until the ticket is issued and a ticket number is provided. Unless your advisor states otherwise in writing, quotes are valid only for the period stated and are subject to availability at the moment of ticketing.
If the fare or taxes change before ticketing, we will inform you and you may accept the revised price, request alternatives, or cancel with a full refund of anything paid.
If a fare is displayed or quoted at an obviously incorrect price due to a technical fault, human error, or a Supplier's filing error, we are not obliged to honor it. We will notify you promptly and offer the corrected price or a full refund of any amount collected.
Consolidator and negotiated net fares frequently carry restrictions that differ from published fares, which may include:
Your advisor will disclose the material fare rules that apply to your itinerary before you authorize payment.
Every traveler's name must be provided exactly as it appears on the passport or government-issued travel document to be used for travel — including middle names where the passport shows them, and without nicknames or abbreviations.
Airlines charge for name corrections and many do not permit them at all after ticketing; in some cases the only remedy is cancellation and repurchase at the fare available at that time. Costs arising from incorrect traveler details you supply or approve are your responsibility.
You must review your itinerary confirmation immediately on receipt and report any discrepancy in names, dates, routing, times, or cabin within 24 hours. After that period we cannot guarantee that corrections are possible without airline penalties.
By instructing your advisor to proceed — verbally on a recorded line, by email, by chat, or by signing a card authorization form — you authorize Business Class Vault to issue the ticket and charge the agreed amount, and you confirm you have reviewed and accepted the applicable fare rules. Telephone calls with our advisors may be recorded and such recordings may be used as evidence of authorization.
You must provide a valid email address and mobile number that will remain reachable through your travel dates. Airlines and Business Class Vault use these for schedule changes, cancellations, and irregular operations. We are not liable for consequences arising from unmonitored, incorrect, or out-of-date contact details.
We accept major credit and debit cards and, for certain bookings, bank transfer. Cards are processed by PCI DSS–compliant providers, by the airline directly, or through accredited ticketing channels.
For some bookings the airline or ticketing partner requires a signed credit card authorization form, a copy of the cardholder's photo identification, and a copy of the card. These requirements come from the Supplier, not from Business Class Vault, and tickets cannot be issued without them where they apply.
If the cardholder is not traveling, additional verification is required and some airlines refuse third-party payment entirely. We may decline a booking on this basis.
Depending on how the ticket is issued, charges may appear from the airline, from Business Class Vault, or from more than one of these — and a single booking may generate multiple charge lines. Your advisor will explain how your charge will appear.
Initiating a chargeback for a validly issued ticket, rather than following the refund process in Section 9, is a breach of these Terms. Where a chargeback is filed for a ticket that was issued as authorized, we reserve the right to contest it, to cancel the affected booking, to recover our costs, and to decline future business.
If a payment is declined, reversed, or fails after ticketing, the booking may be cancelled by the airline without notice and any resulting penalties are your responsibility.
Tickets are normally issued within the ticketing time limit set by the airline, which may be as short as a few hours. Your advisor will confirm the deadline applicable to your booking. A reservation is not confirmed travel until a ticket number is issued. If a ticketing deadline passes without payment, the airline may cancel the reservation automatically and the fare may no longer be available.
Electronic tickets are delivered by email. You are responsible for checking spam and junk folders and notifying us if a ticket has not arrived.
Newly issued tickets can often be voided — cancelled with no penalty at all — within a short window after issuance. Where a ticket is voided, we refund the full amount you paid, including our compensation. There is no retained fee on a void.
The window depends on which settlement system issued the ticket. Your advisor will confirm your exact deadline when you book.
Once the void window closes, cancellation is governed entirely by the fare rules of the ticket, which may provide for a full refund, a refund less an airline penalty, an airline credit or future travel voucher, refund of taxes only, or no refund at all — many negotiated premium fares are fully non-refundable.
Where a cancellation is processed after the void window, Business Class Vault applies a post-ticketing service fee of $250 per passenger in addition to any airline penalty.
Failing to travel on a flight without cancelling beforehand ("no-show") typically forfeits the remaining value of the ticket entirely, including onward and return segments. If your plans change, contact us before departure.
Refunds are processed by the airline, not by Business Class Vault. Typical timelines: voids — 7–14 business days; airline refunds — commonly 8–12 weeks.
Refunds on partially flown tickets are calculated by the airline on the value of unused segments under the fare rules, which frequently produces little or no residual value on discounted premium fares.
Changes after ticketing are subject to the fare rules, seat availability, and any fare difference. In addition to any airline change penalty and fare difference, Business Class Vault applies a change handling fee of $250 per passenger per transaction, disclosed to you before you authorize the change.
Some negotiated fares do not permit changes at all. Requests received close to departure may not be actionable in time; in that case you must contact the airline directly.
You are solely responsible for ensuring that every traveler holds valid documentation for the entire itinerary, including outbound, transit, and return points. This includes a passport valid for the period required by each country, all required visas and electronic travel authorizations, and any required health documentation.
Airlines deny boarding to passengers without correct documentation. Tickets are not refunded, and Business Class Vault accepts no liability, where boarding or entry is denied for documentation reasons.
Airlines change schedules, equipment, routings, and cabin configurations routinely, and may cancel flights. Business Class Vault does not control these decisions.
When we are notified of a change affecting your booking, we will use reasonable efforts to inform you and to assist you in securing an alternative permitted by the airline. Your rights when a flight is delayed or cancelled arise from the airline's contract of carriage and applicable law. Those rights are enforceable against the airline, not against Business Class Vault.
Seat assignments, specific seat types, bed configurations, cabin product, meal service, lounge access, and baggage allowances are provided by the airline and may change without notice. Requests we submit on your behalf are requests, not guarantees, and are confirmed only by the operating carrier.
We strongly recommend comprehensive travel insurance for every booking, purchased at the time of ticketing. Premium-cabin tickets represent significant value and many carry non-refundable conditions. Appropriate cover should include trip cancellation and interruption, medical and evacuation cover, baggage, and supplier insolvency.
If you decline insurance, you accept the financial risk of cancellation, disruption, illness, and loss.
Where you enquire about private aviation or charter travel through businessclassvault.com or with an advisor, Business Class Vault acts solely as a referral source. We are not an air carrier, charter operator, charter broker of record, or indirect air carrier. Such enquiries are referred to independent third-party operators. Any resulting contract of carriage is directly between you and that operator.
You agree not to:
We may suspend, cancel, or decline service for any of the above, and may retain funds only to the extent needed to cover Supplier penalties actually incurred.
THE SERVICES AND ALL CONTENT ON BUSINESSCLASSVAULT.COM ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, AND NON-INFRINGEMENT, TO THE FULLEST EXTENT PERMITTED BY LAW.
We are not responsible for the acts or omissions of Suppliers, including cancellation, delay, overbooking, downgrade, denied boarding, insolvency, loss or damage to baggage, injury, illness, or property damage arising from services they provide.
TO THE MAXIMUM EXTENT PERMITTED BY LAW:Business Class Vault's total aggregate liability arising out of or relating to these Terms, the Services, or any booking shall not exceed the total amount you paid to Business Class Vault for the booking giving rise to the claim. Business Class Vault shall not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, lost business, lost opportunity, missed events or connections, alternative transport or accommodation costs, or loss of enjoyment.
Nothing in these Terms excludes or limits liability for fraud, fraudulent misrepresentation, death or personal injury caused by our negligence, or any other liability that cannot lawfully be excluded.
You agree to indemnify and hold harmless Business Class Vault, its officers, directors, employees, and advisors from any claim, loss, liability, penalty, or expense arising from: your breach of these Terms; inaccurate traveler information you supplied or approved; your failure to hold valid travel documents; your conduct toward a Supplier; or your misuse of the Services.
Business Class Vault is not liable for any failure or delay in performance caused by events beyond our reasonable control, including acts of God, extreme weather, natural disaster, epidemic or pandemic, war, terrorism, civil unrest, strikes or industrial action, airspace or airport closure, airline or supplier insolvency, government action, sanctions, cyberattack, or failure of telecommunications, payment, or distribution systems.
PLEASE READ THIS SECTION CAREFULLY. IT AFFECTS YOUR LEGAL RIGHTS.
Before commencing formal proceedings, please send a written description of your claim to info@businessclassvault.com or the address in Section 23. The parties will attempt in good faith to resolve the matter within 60 days.
If the dispute is not resolved, you and Business Class Vault agree that any dispute arising out of or relating to these Terms or the Services shall be resolved by final and binding individual arbitration administered by the American Arbitration Association under its Consumer Arbitration Rules, before a single arbitrator. Arbitration will take place in Alameda County, California. The Federal Arbitration Act governs the interpretation and enforcement of this provision.
You and Business Class Vault agree that each may bring claims only in an individual capacity, and not as a plaintiff or class member in any purported class, collective, consolidated, or representative proceeding.
You may opt out of this arbitration agreement by sending written notice to info@businessclassvault.com within 30 days of first accepting these Terms, stating your name, the email address used with Business Class Vault, and a clear statement that you decline arbitration.
These Terms are governed by the laws of the State of California, without regard to conflict of laws principles. Any claim must be brought within one year of the event giving rise to it, or it is permanently barred, except where a longer period is required by law.
The Business Class Vault name, logo, wordmark, brand palette, site design, photography, video, route guides, editorial content, and code are owned by Business Class Vault or licensed to us, and are protected by copyright, trademark, and other laws. Your use of the Services grants you no rights in them.
Third-party marks, including airline names and logos, are the property of their respective owners and are used for identification purposes only.
By providing your contact details you consent to receive service and transactional communications about your enquiry and booking by email, phone, SMS, and WhatsApp. These are not marketing messages and cannot be opted out of while a booking is live.
By separately opting in, you consent to receive marketing communications including fare alerts and promotions. You may withdraw that consent at any time.
Calls to and from Business Class Vault may be monitored and recorded for quality, training, and verification purposes.
Changes to these Terms.We may amend these Terms at any time by posting an updated version with a new "Last Updated" date. Changes apply prospectively. The Terms in force at the time you confirm a booking govern that booking.
Entire agreement. These Terms, together with our Privacy Policy and any written confirmation issued for your booking, constitute the entire agreement between you and Business Class Vault regarding the Services.
Severability. If any provision is held unenforceable, it is severed or limited to the minimum extent necessary and the remainder stays in force.
No waiver. Our failure to enforce any provision is not a waiver of it.
Assignment. You may not assign these Terms. We may assign them in connection with a merger, acquisition, or sale of assets.
Language. These Terms are drafted in English. Any translation is provided for convenience and the English version controls.
